An OEM (Original Equipment Manufacturer) tyre company sought to digitize and automate its end-to-end dealer and customer billing operations. The goal was to replace fragmented, manual delivery, invoicing, and credit note processes with a centralized platform connecting OEM admins, dealers, sub-dealers, and customers — fully synchronized with the company's SAP ERP environment.
Manual, disconnected processes across delivery receipts, quotations, invoicing, and credit notes made it difficult to scale operations, reconcile dealer commissions, or maintain accurate real-time pricing and payment status. The company needed a platform capable of orchestrating a multi-step approval workflow, integrating bidirectionally with SAP, and serving distinct dashboards and permissions to five different user roles.
Some of the key blockchain challenges were:
- Coordinating a multi-step delivery receipt (DR) approval workflow across portal, email token, and auto-approval paths without inconsistent states.
- Keeping product pricing, order creation, and payment status synchronized in real time with SAP via both SOAP and REST, including recovery from failed requests.
- Reconciling dealer commissions and holdbacks accurately through automated credit note generation tied to DR approvals.
- Supporting secure, flexible authentication (OTP, Magic Link, Basic Auth) across five distinct roles without compromising token security.
- Giving OEM admins, dealers, and customers role-appropriate visibility into DRs, invoices, and outstanding amounts without exposing cross-role data.
Results
- Platform is live in production, OEM admins, dealers, sub-dealers, and customers manage the full delivery, invoicing, and credit note lifecycle through a single self-service portal.
- Real-time SAP synchronization eliminated manual pricing lookups and payment status checks, with automated retry ensuring resilience against transient SAP failures.
- Dealer commission and holdback reconciliation is fully automated through credit note generation, removing manual finance calculations.
- Role-specific dashboards give every user type immediate, relevant visibility into DRs, invoices, and outstanding amounts without cross-role data exposure.
- Secured deployment on IIS via GitHub Actions CI/CD with a self-hosted runner, supporting Development, UAT, and Production environments.
- Full observability achieved through OpenTelemetry tracing and metrics, Serilog structured logging, and health check endpoints, alongside a comprehensive four-tier audit trail.
